Terms of Services

  1. Please send any documents such as a meeting agenda, presentation file, text of a speech to be given, or any other reference file that will help me prepare for the assignment at least 48 hours in advance. Even if these documents are still undergoing editing, having them will in advance of the event will help me to prepare. In addition, if you have a terminology dictionary or a list of common terms used in your field, please provide that as well.
  2. Daily interpretation fee covers 8 hours on-site, including time for lunch and reasonable bio breaks. Anything exceeding 8 hours on-site will be billed as overtime in 15-minute increments at 1.5x the calculated hourly rate.
  3. If using simultaneous interpreting, the interpreter must speak and listen at the same time; providing the interpretation while continuing to give their full attention to the speaker. This requires a high level of concentration that cannot be maintained for a long period of time. Therefore, it is customary to have 2 interpreters who work in 15-20 minute shifts even for short meetings.
  4. The booth and equipment required for simultaneous interpreting will need to be acquired separately. The interpreter does not carry them unless requested and quoted in advance. Please be ready to provide the necessary equipment or contact us well in advance to quote equipment.
  5. Telephone or video conferencing services will always be done with consecutive interpreting. The interpretation will be given after the speaker has stopped speaking. This means that the meeting will take twice as long as normal. Even a 1 hour meeting can take almost 2 hours with an interpreter. Please plan accordingly.
  6. Any interpretation requests that are received within 48 hours of the service date will incur a 25% expedited fee.
  7. A cancellation fee of 50% of the quote will be charged when firm contract (meaning a signed quotation or other customer contract) is cancelled at any time. If a firm contract is cancelled 5 business days or less before the event, 100% of the quoted amount will be charged.
  8. When travelling in the US, mileage to the site will be charged at the standard IRS rate of $0.535/mile. If the travel time from the interpreter’s home to the site exceeds 3 hours, the customer will be asked to provide airfare and hotel accommodations. These can be either arranged by the customer or by the interpreter and included in the invoice. When travelling in Japan, travel costs will be invoiced at cost using the interpreter’s preferred mode of transportation.
  9. If overnight stay is required, a daily meal stipend (per diem) of $60 for domestic and $100 for international will be billed.
  10. Payment must be made in US dollars by either check, ACH, or PayPal. If using PayPal, the invoice will reflect a 2.9% merchant fee and a fixed $0.30 fee to the total. Payment is due within 30 days of the invoice date.
